Project Finance Administrator

Project Finance Administrator at Grass Roots Meetings & Events.

Grass Roots Meetings & Events is looking for a Project Finance Administrator to help maintain the smooth running of the Project Finance Team by assisting with the reconciliation of bank and credit card payments, responding to client queries, assisting with credit control and any other work as required.

Principal Responsibilities

Customer Satisfaction

  • Work with the team to ensure all unpaid registrations are paid before an event takes place
  • Aim to complete an event’s fee collection within one month of the event taking place
  • Assist with equal credit control coverage for each and concurrent projects
  • Assist delegates with the completion and provision of supplier forms, certificates of residency and acts of acceptance
  • Liaise in a responsive and professional manner to all delegate enquiries and correspond with the clients’ finance team where appropriate
  • Assist in the smooth delivery of onsite registration services ensuring that the client expectations are met at all times

Operational Excellence

  • Clearly understand all business requirements and ensure their accurate and timely delivery
  • Assist the Finance and Operations teams in resolution of project finance issues
  • Immediately inform project managers and line manager of any issues that may arise
  • Have an understanding of registration as a service
  • Have full understanding of internal IT systems
  • Work in line with ISO 9001 requirements

Financial Performance

  • Assist where required with post event reporting on unpaid delegate fees and feed to Finance team
  • Maintain accurate weekly timesheet recording
  • Ensure expenses are completed and submitted in accordance with company policy and charged onto client where appropriate

Learning & Growth

  • Training and induction of new team members.  Assist with on the job training and ensure full understanding of systems, processes and quality requirements
  • Support other team members and offer general guidance, knowledge and experience
Skills and Experience


Essential

  • Excellent written and oral communication skills
  • Good understanding/skills in Excel
  • Previous credit control experience
  • Excellent organisational skills
  • Excellent attention to detail
  • Ability to plan and prioritise tasks, anticipate problems and act to minimize risks. Manage time effectively
  • Demonstrate a high level of comfort and accuracy with figures and evaluate numerical data

Desirable

  • Additional spoken and written languages
  • Look for better/more efficient ways of working
  • Understand the commercial implications of actions
